How to Verify a B2B Electrical Supplier in India Before You Pay: Red Flags and a Due-Diligence Checklist

Why Verification Matters More for Switchgear Spares

Electrical spares are model-specific and often safety-relevant. A wrong or substandard coil, motor or contact is not just a refund problem, it can mean a breaker that fails to trip or close when it should. Checking the supplier first is cheap compared with a plant outage. This applies equally to marketplace listings, cold calls, WhatsApp offers and online stores. Step 1: Confirm the Business Exists

  • GSTIN - ask for it and look it up using the taxpayer search on the official GST portal. Check that the legal or trade name and the registered state match what the supplier told you.
  • Company registration - if the supplier is a company or LLP, you can check its details on the Ministry of Corporate Affairs website.
  • Address and contact details - a real business has a traceable address, a working landline or mobile number and a business email on its own domain, not only a free mail account.

Step 2: Check the Website and Track Record

  • Look for clear contact details, policies (shipping, returns, privacy, terms) and an About page. A serious online store publishes these, for example our shipping policy, return policy, About page and contact page.
  • Ask for two or three references from similar customers, and actually call one.
  • Search the company name together with words such as complaint or review, and read what comes up with a sensible degree of scepticism.

Step 3: Verify the Product, Not Just the Seller

  • Prefer traceable payment through a bank transfer to an account in the registered business name, or a recognised online payment gateway, rather than paying an individual person account.
  • Be careful with large advance payments to a supplier you have never dealt with. For a first order, consider a smaller order, staged payment or a payment method with buyer protection.
  • Confirm that the account holder name on the payment details matches the business name on the invoice.

Common Red Flags

  • A price far below every other quote, with no explanation.
  • Pressure to pay immediately or to pay in full before any paperwork is shared.
  • Refusal to share a GSTIN or a company address.
  • Payment requested to a personal account with a different name from the business.
  • Vague answers about brand, origin or part number, or a reluctance to put compatibility in writing.
  • Unbranded or poorly finished parts presented as genuine, with no packaging or batch information.

Checks After Delivery

  • Inspect the parcel and photograph it before opening, and note any visible damage on the delivery receipt.
  • Compare the part with your old one and with the order details: brand, model, rating, voltage and dimensions.
  • Report any mismatch to the supplier straight away, in writing, within the return window.
